Or at the June board meeting which sometimes happens, if not before....depends when they want to have the Orientation meeting for the incoming new board. The bylaws say the Orientation meeting has to be held before the membership meeting which is on the 24th. The June board meeting's on the 20th. Or they may break the bylaws again this year and not even have an Orientation meeting. If they have the Orientation meeting before the board meeting, then the new reps will obviously have to be informed before the 20th of June.

In case anyone's wondering what an Orientation meeting is, it's purpose "is to facilitate a smooth transition between incoming and outgoing directors", and there is a specific agenda for the Orientation meeting...Discuss "the oaths of office for officers, board meeting procedures, board communications, board/management relationship, personnel policies, overview of unfinished business, ongoing projects and current committees. Orientation of bylaws with emphasis on Article VIII Board of Directors AND Article IV Objects and Purposes." Objects and Purposes on page 3 partly discusses the board's main responsibilities and also discusses board and member relationship... (a) "To ascertain the needs and desires of lot owners in HPP and represent those needs and desires as appropriate"....AND (e) "to foster an atmosphere of cooperation and harmony that encourages the participation of lot owners in the management and operation of the Association."

Kind of ironic to think these majority reps would or could have such a discussion w/the new reps on this topic when they've been oblivious to it for over 3 yrs.

I can recall at least one instance about seven years ago when the vote counting was done by the League of Women Voters in the Activity Center main hall. Anyone who wanted to observe could have watched, and about half a dozen members did. The results were announced as soon as they walked to the office and had one of the staff type up the list of winners. It was that transparent. Things sure have changed, and not for the better.

That's very interesting Chunkster....as long as an outside reputable entity does the receiving of the ballots at their address, I don't see why the counting couldn't be done at HPP. No conflict of interest. As you said, any member could observe which would mean there would be no board control or ceremony of who gets to observe...this is something that should be looked into.

The question is why did all that change? The bylaws state Article VIII Sec 5 (a) "Prior to the ballot mail-out, the board shall select a reputable neutral entity to receive, count, and report on the election results." So the bylaws are silent on the location for counting ballots.

When the ballot countings done at another location, even then I don't see why the results couldn't be posted immediately on the HPP website after the official results are mailed to the board w/in that 14 day time frame of the election. The 2010 bylaws say the results are announced at the June membership meeting and some people interpret this to mean, then and only then. IMO, that meeting is also when the new board members should be introduced. The past two years in a row, the board didn't introduce the new board members who were sitting in the audience. They just gave the results.

With the technology we have, why not get the word out promptly? As I mentioned in my earlier post, some boards announce the results at their June board meeting and that only serves the board and a small amount of members who attend board meetings.

The elections are a members' annual event and it would seem then that the members should be informed as soon as possible. The employees knew the "official" results as of yesterday. Why not the members?

Chunkster. do you know if the candidates were informed of the results before the public announcement was made?

It was not clear to me exactly how or when the candidates were notified. One lady who observed with me got on her phone and made some calls, but I'm sure the office notified the candidates at some point. I should also note that the votes were called out aloud, so anyone could record them and know the results. I was actually surprised at how open it all was. All we had to do to watch was state that we were interested members. Also, it was never clear to me whether this was a standard procedure or just a one off. It was the only time I observed.
