I also believe that the Membership Meetings should always take priority over anyone renting the Community Center. It should not be rented out any time after noon the day of meetings. (Community Center should not even be available AFTER the meeting in case it runs long like the last one did, and Membership had to leave to accommodate renter.)
That said,
1. It's not Morgan's job to do the bookings. Someone else is being paid to take on that task, and didn't.
2. The Renter had a signed contract, and was firm in refusing to change the date.
I'd like to suggest that:
Meeting dates be blocked, (blacked out) in the future.
That the person hired to do the bookings, (not Morgan) do it from now on.
That we rent whatever necessary to keep the membership dry/shaded and have the meeting on the correct day, by the office or road equipment area.
We need to have our meetings on the right day to accommodate membership who have planned for it, and are traveling to attend.
IMHO, it shouldn't be that hard to block out 3 days a year for Membership Meetings.

There is one thing more to note, on the contract that is on the homeowner web, there actually is NO contingency for the assn to cancel, but the renter has many contingencies...perhaps the HOA should look to amend the contract in case of the facility not being able to rent (little things like the aftermath of Iselle should be an eyeopener...

BUT there is a line the ACCEPTANCE of the contract.... someone should check to see if this contract WAS, IN FACT ACCEPTED (and what that line fully means)
Also has the full rental amount and deposit been paid? if not, it seems like the wording would imply that there is only a hold on the date, not a full reservation...

There is also something someone within the current membership may want to check, if the assoc member fee has been already been paid by this renter, & if they are not a full member: if that fee has not already been paid, they are not able to rent, according to the contract...

The voice of reason has spoken. It would appear that there many avenues for this oversight to be corrected. Condolences to the soon to be one year old about the sudden change in plans.

Could someone confirm that someone is fixing this?
Is anyone working on solving this?
Is the birthday party taking priority or is 3 months long enough away to change?

If it's not done on the specified date and place anything done in the meeting would be challenged latter.

The best option may to have the meeting there and let the other people sue, taking the hit would be cheaper than HPP trying to rent another venue

At risk of being told to mind my own business again because I don't live in HPP,Why can't the meeting be moved or the date changed ?

It's in the bylaws !

"Section 4. Place of Meetings. Membership meetings shall be held at the Hawaiian Paradise Park Activities Center or other such suitable place on the island of Hawaii, in the District of Puna, as designated by the board.
Section 5. Change of Meeting Date, Time or Place. In the event of a change of the date, time or place of the Membership
Meeting, members shall be notified at least thirty days in advance."
